Assign and Unassign Guides to a Trip

This article will go over the two steps of assigning a guide: Adding the guide in Settings > Grant Access and assigning or unassigning the guide to the timeslot. Please note that you can add guides both to empty trips (to plan ahead) or add guides to reserved trips.


Add Guide in Grant Access

  1. Settings > Grant Access.
  2. Click +Add User at the top of the page.
  3. In the modal popup that appears, type in your guide’s Name and Email (phone number and nickname optional) and click Save. 
  4. Designate the guide's access level. We have two access levels for guides - Guide Manager and Guide. 
      • Guide Manager - Can assign guides to trip timeslots
      • Guide - Can be assigned to trip timeslots 
  1. Your guide will receive an email asking them to confirm their email address and set up a Xola password. They will use their email and password to log into their Xola account to view trips to which they've been assigned as a guide.

 

Assign and Unassign a Guide to a Trip

  1. In the Dashboard, locate the timeslot that you would like to add a guide to and click into it to access the roster.
  2. To assign one or multiple guides to a trip, click Guides and tick off the guides from the drop-down menu who will be taking out this trip.
  3. Twelve hours prior to this tour, the guide will receive a copy of the roster at the email address provided in Grant Access. If the tour is sooner than 12 hours away, the guide will receive the email immediately.
  4. To unassign a guide from a trip, simply click the Guides dropdown and untick the guide's name. The guide will receive an email notifying them that they are no longer assigned to the trip.
